Job Title: Secretary III Foster Grandparent & Senior Companion Program Assistant

Job Summary: Serves the AmeriCorps Seniors Foster Grandparent and Senior Companion Programs in all basic administrative duties. Provides assistance to volunteers in a person-centered manner. Assists Program Manager with the development of new volunteer sites, recruitment and placement of volunteers, planning and assisting with in-service monthly training programs and maintenance of volunteer records and payroll. Interacts effectively with professional and non-professional persons of all age groups. Must be able to work independently and as part of a team.
Primary Job Functions:

  1. Generate monthly timesheets, prepare monthly payroll, reports, correspondence, documents, letters, and memoranda as needed. Compile data for statistical reports.
  2. Assist with new volunteer processing including training materials, training sessions, and Schedule new volunteer physical exams and background checks.
  3. Performs data entry and other computer-related Learns and utilizes America Learns database system for volunteers, including but not limited to records of hours volunteered, leave time, and approved leave of absence.
  4. Clerical duties such as correspondence, forms, documents, and minute taking of Advisory Council and other monthly and quarterly meetings.
  5. Compiles packets for training teachers and principals and other volunteer site staff
  6. Maintains and organizes volunteer supplies and orders materials when needed
  7. Updates all annual forms and site evaluations for the volunteers
  8. Assists manager in providing counsel and personal assistance to Foster Grandparents/Senior Companions as needed
  9. Assists with planning and implementing special functions and training
  10. Travel to various volunteer sites to collect paperwork, meet with volunteers and staff, and other duties as needed

Minimum Qualifications: 
  • Proficient computer skills – Excel, Word, Power Point – Publisher desired
  • High school Bachelor’s Degree preferred.
  • Ability to type minimum of 45 WPM
  • Knowledge of office methods, procedures, practices, equipment
  • Three to five years relevant administrative experience
  • Excellent telephone skills
  • Ability to travel as needed to volunteer stations in other
  • Must submit to and pass a federally required NSOPW and Livescan (FBI and CA DOJ) prior to the first day of employment.
Physical Requirements:
Adequate manual dexterity and coordination for operation of a computer and other standard office equipment is required for this position. The ability to sit at a workstation for long periods of time, the ability to read, write and comprehend large amounts of written material such as reports and regulations, use the telephone, and communicate via electronic mail are all required on a daily basis. The ability to travel to another work-site location is absolutely required on a daily basis. The ability to stand, sit or walk for moderate distances on uneven terrain is also required on a daily basis.
While performing the duties of this job, the employee is regularly required to use hands to finger, handle, feel or operate objects, tools, or control and reach with hands and arms. The employee frequently is required to stand, sit, walk, push, pull, kneel, stoop, bend, and squat. The employee must frequently lift and/or move up to 10 lbs. and infrequently up to 20 lbs. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus. Each of these physical tasks is an essential function of the position.
