09102-A-Translation of the IPP

A translated/written copy of the IPP must be offered and provided within 45 days of the request in English or Spanish and within 60 days for all other languages. 

W & I 4646.5 has been amended, requiring regional centers to offer, and upon request provide, a written copy of the IPP within 45 days of the request in a threshold hold language. (SPANISH and ENGLISH)

W & I 4519.5 was amended and requires regional centers to notify DDS the number of instances when a written copy of the IPP was requested, and provided, if the written copy was provided more than 60 days after the request for non-threshold language and 45 days for threshold language  

Request for Translation of IPP/Amendment to Non-Threshold Language

  1. Family requests IPP or amendment in non-threshold language.
  2. The service coordinator authorizes service in IPP or amendment.
  3. The service coordinator writes IPP or amendment in English and has manager approval within two weeks of meeting.
  4. The service coordinator sends English version to Manager of Support Services requesting translation via e-mail or Box.
  5. Manager of Support Services contact Translation vendor and notifies them of needed translation and clarifies timeline for completion of translation and begins tracking timeline from the date of the planning team meeting. 
  6. Manager of Supports Services enters appropriate authorization for translation into Sandis:

  9. Sub code:  IPP
  10. Manager of Support Services sends email to POS Manager requesting approval of authorization(s). 
  11. Manager of Support Services sends IPP or amendment to translator.
  12. Translator sends the translated IPP or amendment back to Manager of Support Services.
  13. Manager of Support Services tracks that the IPP or amendment is sent to the individual or family within 45 days from the date the planning team meeting was held.
  14. Support staff mails the IPP or amendment to the family and notifies SC via e-mail it was done and enters T-19 note indicating date sent.
  15. Support staff scans translated IPP or amendment into E-charts.
